The presentation highlights ten practical AI agent scenarios that are already within reach for small and medium-sized enterprises (SMEs), especially in regions like Flanders. These include:

  • Automated quote handling: Agents read incoming requests, extract key details, check team availability, and schedule follow-ups. 
  • Document management with subcontractors: Agents detect missing documents, send reminders, and upload files to SharePoint or Teams. 
  • Timesheet processing: Agents use OCR and AI to read hours from emails, PDFs, and photos, matching them to projects and flagging anomalies. 
  • HR onboarding: Agents send welcome emails, coordinate IT tasks, organize introductions, and answer new employee questions. 
  • Invoice control: Agents read and compare invoices, detect errors, and streamline approvals, often without the need for a full ERP system. 
  • Customer service: Agents answer customer queries, look up orders, and initiate refunds or deliveries, escalating to humans only when needed. 
  • Safety and quality checklists: Agents digitize paper forms, create incident tickets, and analyze trends in production environments. 
  • Social media and marketing: Agents analyze past posts, pull data from POS systems and reviews, and suggest relevant campaigns. 
  • Inventory management: Agents detect low stock, generate purchase proposals, and analyze delivery delays. 
  • Contract management: Agents read contracts, identify deadlines, send reminders, and suggest new versions. 

All these scenarios are achievable today using Microsoft Copilot Studio for conversational, workflow-driven automation within Microsoft 365, or Azure AI Foundry for more advanced, data-intensive, or custom AI solutions.

Choosing the Right Platform:
Copilot Studio vs. Azure AI Foundry

  • Copilot Studio is ideal for low-code, conversational scenarios that integrate with Microsoft 365 tools like Teams, Outlook, and SharePoint. It’s perfect for chatbots, Q&A, and task automation that don’t require heavy AI model training. 
  • Azure AI Foundry is designed for more complex needs, such as document parsing, vision, IoT integration, or building custom agents with multiple skills and API connections. It’s the go-to for pro-code, enterprise-grade AI. 
Rule of thumb:
  • Use Copilot Studio for conversational automation within Microsoft 365. 
  • Use Azure AI Foundry for advanced AI, document intelligence, and integration beyond Microsoft 365.
